HR Administrator (HR Operations, Immigration compliance, Contract Management & Compliance)

Enko Education is seeking a highly motivated and experienced HR Administration professional with a strong background in Botswana immigration law. This role is pivotal in ensuring our HR practices are not only legally sound but also contribute to a positive and productive employee experience. You will be the go-to expert on all matters related to immigration, ensuring compliance with current regulations and proactively anticipating future changes.

Your deep understanding of Botswana immigration laws, coupled with your broad HR administration experience, will allow you to develop and implement effective policies and procedures. You will be responsible for managing all aspects of the employee lifecycle, from onboarding to offboarding, with a particular emphasis on visa applications, work permits, and other immigration-related documentation. You will also play a key role in advising management on immigration-related risks and best practices.

Beyond your technical expertise, you are a highly organized and detail-oriented individual with excellent communication and interpersonal skills. You are comfortable working independently and as part of a team, and you possess a strong sense of ownership and accountability. This role requires a minimum of 4 years of experience in HR administration, with a demonstrable focus on Botswana immigration law. Experience working in a multi-cultural environment is a plus. You must be proficient in payroll softwares and HRIS and possess strong analytical and problem-solving skills.

Key Responsibilities:

Contract Management & Compliance:

  • Draft, review, and manage employment contracts, ensuring they align with Botswana labor laws and company policies.
  • Maintain an organized system for contract renewals, amendments, and terminations while ensuring legal compliance.
  • Provide contract interpretation and advice to management and employees to mitigate risks and ensure clarity on terms and conditions.

Immigration Law & Visa Compliance:

  • Support the business in hiring expatriates by ensuring compliance with Botswana’s immigration laws.
  • Assist in managing work permit applications, renewals, cancellations, and visa processes in a timely manner.
  • Ensure compliance with visa sponsorship requirements, employee work status verification, and immigration record-keeping.
  • Liaise with relevant authorities to facilitate smooth employment processes for expatriate staff.

HR Administration & Process Management:

  • Manage and maintain HR records, employee files, and HR databases with accuracy and confidentiality (in an HRIS)
  • Support the implementation and execution of HR policies and procedures, ensuring smooth HR operations.
  • Assist in the recruitment of certain roles, onboarding, and offboarding processes, ensuring a seamless employee experience.
  • Support  training and development initiatives in line with company objectives.
  • Handle HR reporting and compliance audits to ensure adherence to labor laws and company policies.
  • Respond to employee queries related to HR policies, benefits, and company procedures.

Payroll & Benefits Administration:

  • Run  an accurate and timely payroll process, under the patronage of the regional HRBP.
  • Maintain and update records related to employee compensation, benefits, and deductions.
  • Ensure compliance with statutory deductions, tax obligations, and benefits administration.

Employee Relations & Discipline:

  • Advise management on disciplinary procedures, ensuring fairness, consistency, and legal compliance.
  • Support the HRBP in drafting and issuing disciplinary notices, warning letters, and termination letters in accordance with labour laws and company policies.
  • Minute taking in conducting disciplinary hearings, ensuring due process is followed.
  • Support HRBP in handling  employee grievances, mediating disputes, and ensuring conflict resolution aligns with legal and ethical standards.
  • Support initiatives to create a positive work culture and employee engagement strategies.

Social Relations:

  • Assist Heads of School (HoS) in understanding their obligations regarding employee representation within their establishment and ensuring compliance with legal requirements.
  • Support efforts to maintain a positive and inclusive work environment by assisting with employee engagement activities and addressing workplace concerns.

Ideal profile:

  • Agile in adapting to changing environments, with a rigorous/reliable, analytical, self-driven mindset and long-life learner 
  • Bachelor’s Degree or Diploma in Law, Human Resources, Business Administration or a related field.
  • Strong proven knowledge of Botswana’s labor and immigration laws
  • Minimum 3 years’ experience in HR administration, compliance and  contract management.
  • Excellent verbal and written communication skills with strong attention to detail.
  • Strong problem-solving skills with a keen understanding of risk management.
  • Ability to multitask and work under pressure in a fast-paced environment.
  • Proficiency in HRIS systems, Google Suite (Docs, Sheets, etc.), and Microsoft Office Suite.
  • Proficiency in English (knowledge of local languages is an advantage).
